Essential Duties & Responsibilities

The employee performs specialized, sensitive administrative support for the Chief of Police, Assistant Chiefs, Command Staff, and Sergeants. Core responsibilities include managing divisional payroll processes (reviewing timesheets, leave requests, and overtime in automated systems), helping Assistant Chiefs audit divisional budgets, updating department policy manuals, typing confidential documents, routing invoices, tracking inmate accounts receivable billings, and purchasing office supplies.

Additional tasks involve tracking risk indicators for the Personnel Early Warning System, designing promotional and public information layouts (brochures, newsletters, and presentations), recording meeting minutes, and assisting Recruiting Officers with setting up IT, scheduling, and building access for incoming staff. Peripheral Duties

The candidate delivers essential backup support for Code Enforcement Officers by receiving complaints via phone, walk-ins, and online systems (CopLogic). Duties include evaluating records across multiple tools (King County Parcel Viewer, Tiburon/Axon, KIVA, WA Department of Revenue), drafting admonishment letters, setting up complex case files, and addressing public inquiries with tact and patience.

Requirements, Knowledge, & Skills

Successful candidates must understand municipal government structures, modern office machinery (computers, scanners, multi-line phones), and records retention schedules. Proficiency in English grammar, mathematical calculations, bookkeeping, and database management software is essential. Candidates must plan tasks effectively to reach deadlines and communicate professionally with hostile or irate individuals.

Education & Experience: A High School Diploma or GED supplemented by two (2) years of college-level coursework or vocational training in office management, accounting, or administrative support is required. Applicants must possess three (3) years of increasingly responsible administrative experience, including at least one (1) year assisting a division manager or director.

Licenses & Certification: A valid Washington State driver’s license is mandatory. Candidates must secure a Washington Crime Information Center (WACIC) certification within one year and a Notary Public License within six (6) months of hiring.
